Recruitment and Placements Privacy Notice


JNCC is the public body that advises the UK Government and devolved administrations on UK-wide and international nature conservation. Originally established under the Environmental Protection Act 1990, JNCC was reconstituted by the Natural Environment and Rural Communities (NERC) Act 2006.

We collect and process personal data relating to job applicants and placement participants for as part of the recruitment and placement processes. This privacy notice sets out what data is collected and processed and the lawful bases for processing the data. JNCC is committed to being transparent about how it collects and uses personal data and to meeting its data protection obligations.


Information we collect

We collect and process a range of information about job applicants and placement participants for our legitimate interests and to comply with legal obligations. This includes:

  • your name, address and contact details;
  • details of your qualifications, skills, experience, employment history and salary;
  • information about your entitlement to work in the UK and/or immigration status;
  • whether or not you have a disability for which the organisation needs to make reasonable adjustments during the recruitment process;
  • details of any criminal convictions;
  • referee details and extra information your referees choose to tell us about you;
  • CCTV footage if you attend our premises;
  • extra information you choose to tell us during the recruitment process;
  • information about your marital status and emergency contacts (placement participants only); and
  • special category data, including information about your gender, ethnic group or origin, sexual orientation, health, and religion or belief.


How we use your information

We process your personal data during the recruitment and placements process to manage the process, assess and confirm a candidate's suitability for employment and decide to whom to offer a job. We may also need to process data from job applicants to respond to and defend against legal claims.

We also process data to comply with our legal obligations:

  • information about your nationality and entitlement to work in the UK, to comply with the Immigration, Asylum and Nationality Act 2006;
  • information about your criminal record, to comply with the HMG Baseline Personnel Security Standard;          
  • information about medical or health conditions, including whether or not you have a disability for which the organisation needs to make reasonable adjustments during the recruitment or placement process and which is processed to comply with the Equality Act 2010 and Health and Safety at Work etc Act 1974
  • If you choose to supply your special category data for equal opportunities monitoring, it will be processed for the purposes of identifying or keeping under review the existence or absence of equality of opportunity or treatment between groups of people specified in the Data Protection Act 2018.
  • Your personal and special category data will also be processed for the purposes of performing or exercising our obligations or rights as the controller, or your obligations or rights as the data subject, under employment law, social security law or the law relating to social protection.
  • Your personal and special category data will also be processed to ensure we meet our requirements of the Civil Service Commission Recruitment Principles.
  • Special category is anonymised for statistical analysis. You are under no obligation to provide this information and there are no consequences for your application(s) if you choose not to provide it. Collection of this data is voluntary, we do it with your explicit consent.


If your application for employment is unsuccessful, JNCC will hold your data on file for two years after the end of the relevant recruitment, to comply with the  Constitutional Reform and Governance Act 2010.

We will not share your data with third parties, unless your application for employment is successful and we make you an offer of employment. JNCC will then share your data with the referees (employer, academic and/or character) you have supplied to us.

For placement participants, JNCC will hold your data on file for two years after the end of the placement. At the end of that period, your data is deleted or destroyed.


Your rights and our contact information

You can access and obtain a copy of your data on request by contacting us with the details of what you would like to be provided. You can also ask us to change incorrect or incomplete data, or delete or stop processing your data. Where we have previously relied on consent for us to use your data, you can withdraw your consent.

If you have any concerns about how your data is being used, we will endeavour to answer any questions you have. You have the right to lodge a complaint with the Information Commissioner’s Office. You also have the right to an effective judicial remedy against decisions of the Information Commissioner’s Office, or against JNCC.

We keep this privacy notice under review and make changes from time to time. It was last updated 24 May 2021.
